This Privacy Policy ("Policy") describes how PrintAI ("PrintAI," "we," "us," or "our") collects, uses, discloses, and protects information in connection with the PrintAI platform, website, and related services (collectively, the "Services"). PrintAI is operated by PrintAI [TO BE CONFIRMED — legal entity name].
This Policy applies to all visitors to the PrintAI website and to business entities and their authorized users ("Customers," "you") who use the PrintAI platform. It does not override any separate terms or privacy notices provided by third-party services that may integrate with PrintAI.
This Policy is intended to be consistent with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation in Canada. Where provincial privacy legislation applies to your organization or to personal information we process on your behalf, we will handle that information in accordance with those applicable requirements.
For clarity, we distinguish between the following categories of information:
Customers retain ownership and control of their business data. PrintAI does not claim ownership of Customer Content. This Policy explains how each category is handled.
When you use the PrintAI platform, you and your Authorized Users may enter or upload business information, including CRM and customer contact records, quotes, Job Dockets, production and operational data, inventory, purchasing, and invoice information. This information is Customer Content and is processed on your behalf to provide the Services you requested.
PrintAI processes Customer Content solely as necessary to operate, provide, maintain, and improve the platform features available to you. We do not sell Customer Content to third parties. You are responsible for ensuring that you have the necessary rights and consents to enter, upload, and process the information contained in your Customer Content, including any personal information of your own customers or contacts.
Where your Customer Content contains personal information of third parties (for example, your customers' contact details), you are responsible for obtaining and maintaining any required consents and for acting as the accountable party for that information under applicable privacy law.
We collect account and profile information when you register for PrintAI, including company name, primary contact name, email address, and related company details. This information is used to create and administer your account, authenticate users, communicate with you about your account, and provide customer support.
Account information is retained for as long as your account is active and for a reasonable period thereafter as described in the Data Retention section.
When you start a trial or subscribe to a plan, we collect information related to your selected plan, billing frequency, trial status, and subscription status. This information is used to administer your trial, manage your subscription lifecycle, and provide the features associated with your plan.
Subscription status is managed through a unified lifecycle between the website and the main application. Webhook events from the applicable payment provider may be used as an authoritative source for subscription status updates.
We collect information submitted through the public PrintAI website, including Contact page inquiries and Early Access sign-up requests. This may include your name, company name, email address, phone number (where provided), and any message content you choose to share.
This information is used to respond to your inquiry, provide information about PrintAI, manage early access registrations, and, where you have provided consent, send relevant marketing communications. You may withdraw marketing consent at any time as described in the Canadian Privacy Rights and Withdrawal of Consent section.
We and our service providers collect certain technical information when you access the Services, including device identifiers, browser type, IP address, access times, and usage data about how you interact with the platform. Log and usage information is used to operate, secure, monitor, troubleshoot, and improve the Services.
This information is generally collected automatically and is retained only for as long as reasonably necessary for the purposes described in this Policy.
The PrintAI website and platform may use cookies and similar technologies to operate the Services, maintain authentication sessions, remember preferences, and analyze usage. Where cookies or similar technologies are used for non-essential purposes, we seek to provide appropriate notice and, where required, obtain consent.
Most browsers allow you to control or disable cookies, but disabling them may affect functionality of the Services. The specific cookies and similar technologies used are [TO BE CONFIRMED].
We collect and use information for the following purposes:
We use account information to authenticate users, manage sessions, and administer access to the platform. Account administrators within your organization may manage Authorized Users and access settings. You are responsible for maintaining the confidentiality of your credentials and for all activity under your account.
We process billing and subscription information to administer your plan, billing frequency, renewals, and cancellations. Payment-card details are handled by the applicable third-party payment provider. Where provider tokenization is used, PrintAI does not directly store complete raw card details; we retain only tokenized identifiers and related billing references.
The specific payment provider and billing arrangements are [TO BE CONFIRMED]. The payment provider's privacy policy governs how your payment information is handled by that provider.
When you contact us for support, we collect information necessary to understand and resolve your request, including account details, the content of your communications, and related diagnostic information. Support communications and related records are retained for a reasonable period to provide continuity of support and for quality improvement.
We use operational, technical, and usage information to protect the platform, detect and prevent fraud, investigate potential misuse, and respond to security incidents. This includes monitoring for suspicious activity and maintaining logs relevant to security and incident response.
We use aggregated and de-identified usage and operational information to analyze platform performance, identify trends, and improve the features, reliability, and usability of the Services. Where information is aggregated or de-identified, reasonable measures are taken so that it cannot be associated with you or your organization.
Where you have provided consent or where otherwise permitted by applicable law, we may send marketing communications about PrintAI products, services, and events. You may unsubscribe or withdraw consent at any time using the mechanism provided in the communication or by contacting us as described in this Policy.
We do not send marketing electronic messages where prohibited by applicable Canadian anti-spam or privacy legislation without the required consent.
We engage service providers and subprocessors to assist in providing the Services, including hosting, payment processing, analytics, communications, and support. These providers process information on our behalf and under appropriate instructions, and are expected to maintain appropriate safeguards.
The PrintAI platform may allow you to connect or integrate with third-party services. Your use of third-party services is subject to the terms and privacy policies of those providers. PrintAI does not control how third-party services handle your information once you connect them.
The specific categories of service providers and subprocessors, and where applicable a list of subprocessors, are [TO BE CONFIRMED].
Your information may be processed and stored in Canada and in other jurisdictions where PrintAI or its service providers operate. Where information is transferred across borders, we take reasonable steps to ensure it is protected in accordance with this Policy and applicable law.
We do not represent that all information is stored exclusively in Canada. Specific data residency arrangements are [TO BE CONFIRMED].
PrintAI includes AI-assisted functionality, such as estimating assistance, Digital Job Twin insights, production optimization, operational recommendations, risk identification, and workflow assistance. When you use these features, relevant customer, job, and operational information may be processed by AI systems as necessary to provide the requested AI-assisted functionality.
The specific AI providers and data-retention arrangements applicable to AI-assisted features are [TO BE VERIFIED BEFORE PUBLICATION]. We do not represent that customer data is never used for AI model training, nor do we represent that it is used to train external or global AI models, unless and until verified. Where AI-provider arrangements are confirmed, this Policy will be updated accordingly.
Customers retain ownership and control of their Customer Content. AI outputs are decision-support tools and may contain errors or incomplete information; appropriate human review should be applied before relying on AI-generated results.
We retain information only as long as reasonably necessary to fulfill the purposes described in this Policy, including providing the Services, meeting business needs, maintaining security, and complying with legal, accounting, or reporting requirements.
After your account is closed or your subscription ends, Customer Content may be retained for a limited period to allow you to export it, after which it may be deleted in accordance with our data retention practices. Specific retention periods and export processes are [TO BE CONFIRMED]. We do not guarantee deletion within a specific timeframe where retention is required for legal, security, or operational reasons.
We use appropriate administrative, technical, and organizational safeguards designed to protect information against unauthorized access, use, alteration, disclosure, and loss. These safeguards are reviewed and updated as reasonably appropriate.
We do not represent that the Services are completely secure or that absolute security can be achieved. No system or transmission is ever fully secure. Specific certifications, encryption standards, or security frameworks are referenced only where confirmed; we do not claim unverified certifications such as SOC 2, ISO 27001, PCI DSS, HIPAA, or GDPR compliance.
We assess potential security and privacy incidents and, where required by applicable law, provide notification or reports to affected individuals, regulators, or other parties. The specific incident response processes and notification timelines are [TO BE CONFIRMED].
Subject to applicable law, individuals may have rights regarding their personal information, including the right to access, correct, or update personal information we hold about them. Because PrintAI is a business-to-business platform, many requests relating to Customer Content should be directed to the organization that entered that information.
To exercise access or correction rights with respect to personal information we hold directly (such as account or website information), you may contact us as described in the Contact and Privacy Contact section. We will respond in accordance with applicable Canadian federal or provincial privacy legislation.
Where we process personal information on the basis of your consent, you may withdraw that consent at any time, subject to legal or contractual restrictions. Withdrawing consent may affect our ability to provide certain features or communications.
To withdraw consent for marketing communications, use the unsubscribe mechanism provided in the communication or contact us as described in this Policy. To withdraw consent for other processing, contact us using the details below.
You may request closure of your account through your account settings or by contacting us. Upon account closure, Customer Content may be retained for a limited period as described in the Data Retention section, after which it may be deleted in accordance with our practices.
We do not guarantee deletion within a specific timeframe where retention is required for legal, security, accounting, or operational reasons. Specific deletion processes and timelines are [TO BE CONFIRMED].
We may update this Privacy Policy from time to time. Where a change is material, we will provide reasonable notice, such as by posting the updated Policy on this page with a revised "Last Updated" date. Your continued use of the Services after the effective date of an updated Policy constitutes your acceptance of the changes.
If you do not agree with an updated Policy, you may close your account or contact us as described in this Policy.
